Moving Into Your New Home
Once your application has been approved, we’ll guide you through every step of the move-in process. Before you collect your keys, we’ll ensure that all necessary paperwork is completed and that you have the information you need about your new home.
You’ll receive details about your tenancy, important safety information, and guidance on reporting any maintenance issues. We will also carry out an inventory and property inspection to record the condition of the property at the start of your tenancy. This helps protect both you and the property owner throughout your stay.

During Your Tenancy
As part of our fully managed service, we are your main point of contact throughout your tenancy. If you need to report a repair, request maintenance, or have questions about your tenancy agreement, our team is here to help.
We work hard to ensure that properties are maintained to a high standard and that any issues are dealt with as quickly as possible. Regular property inspections may be carried out during your tenancy, with appropriate notice provided in advance.

Preparing to Move Out
When it’s time to move on, we’ll provide clear guidance on the move-out process. This includes information about notice periods, returning keys, and leaving the property in good condition.
Before you leave, we recommend ensuring that all personal belongings have been removed, the property has been cleaned, and any outstanding matters have been addressed. A final inspection will be carried out to compare the property’s condition against the original inventory.

Before your tenancy begins, our team will contact you to arrange key collection and provide full details of the process. In most cases, keys can be collected on your agreed move-in date once all required documentation has been completed. Please bring a form of identification if requested.
You will receive your move-in information before your tenancy start date. This will include important details about your property, key collection arrangements, reporting repairs, emergency contacts, and any other information you need to help you settle into your new home.
Repairs can be reported by contacting our property management team by phone, email, or through our online reporting system here. To help us resolve the issue as quickly as possible, please provide a clear description of the problem and include photographs where appropriate.
Periodic property inspections may be carried out during your tenancy to ensure the property is being maintained and to identify any repairs that may be required. We will always provide reasonable notice before an inspection takes place. The inspection is a routine part of property management and helps us ensure your home remains safe and well maintained.
The amount of notice required will depend on the terms of your tenancy agreement. In most cases, tenants are required to provide written notice before the end of their tenancy. If you are planning to move out, please contact our team and we will advise you on the notice period that applies to your tenancy.
Moving In Checklist
Please bring any documents requested by your local authority or Theori, including photo identification, placement details and any paperwork confirming your accommodation. This helps us complete the move-in process quickly and accurately.
Check whether gas, electricity, water or other utility accounts need to be set up or transferred into your name. Take meter readings on arrival and keep a photo for your records.
Update your address with important organisations such as your GP, school, employer, bank, benefits office and any support services. This helps make sure letters and appointments reach you at the right address.
Theori will explain when and where keys, fobs or access cards can be collected. Please keep them safe and tell us immediately if any are lost or stop working.
When you move in, check the inventory and condition of the property carefully. Tell Theori as soon as possible if anything is missing, damaged or not working, and send photos where helpful.
Save Theori’s office and out-of-hours emergency contact details on your phone. Use the emergency number only where there is an immediate risk to safety, security or serious damage to the property.
Moving Out Checklist
Please follow any notice or move-out instructions given by your local authority or Theori. Contact us as soon as you are told you need to leave so we can explain the next steps.
Before leaving, remove rubbish and personal belongings and leave the property in a clean and reasonable condition. This helps avoid delays, disputes or additional costs.
All keys, fobs, window keys and access cards must be returned as instructed by Theori. Tell us immediately if any keys are missing so we can arrange the correct handback process.
Take final meter readings for gas, electricity and water where relevant, and keep photographs for your records. These may be needed to close or update utility accounts.
Arrange for post to be redirected or update your address with anyone who sends you important letters. Theori cannot guarantee that mail left at the property after you leave will be forwarded.
Theori may carry out a final inspection to check the condition of the property, record any repairs and confirm that keys and belongings have been removed. Please raise any issues before you leave.
